Nature & Objective
Agape Christian Academy is seeking a mission-driven and detail-oriented Office Administrator to oversee the daily operations of the school office. This vital role ensures smooth administrative function, excellent communication, and a welcoming front-office experience for students, staff, and families—all in alignment with Agape’s Christ-centered mission.
The ideal candidate will serve as the operational hub of the campus: managing records and enrollment, coordinating substitutes and events, supporting facility and security systems, and serving as a trusted first point of contact for the Agape community. This is a servant-hearted role in which administrative excellence becomes a form of ministry to students, parents, and staff.
Office Management & Administrative Support
- Manage daily office operations, front desk reception, and communication flow
- Maintain a welcoming, orderly environment for families, students, staff, and visitors
- Oversee supply inventory, mail distribution, and general office systems
- Serve as a primary point of contact for phone, email, and in-person inquiries
- Represent the heart and mission of Agape in every interaction, treating the front office as the first impression of a Christ-centered community
Student Records & Enrollment
- Maintain student files, attendance data, schedules, and grades
- Facilitate enrollment and registration processes for new and returning families
- Ensure compliance with school policies and reporting requirements
- Maintain accuracy and confidentiality across all student information systems
- Coordinate with the Principal and Guidance Counselor to ensure records, transcripts, and reporting remain aligned and current
Substitute Teacher Coordination
- Schedule substitutes and oversee classroom coverage logistics
- Maintain substitute payroll documentation and daily staff attendance
- Communicate coverage needs promptly to faculty and administration
- Maintain an active roster of approved substitutes and onboarding documentation
Event & Logistics Coordination
- Organize major school events such as the Fall Auction, Spring Banquet, Open House, and Graduation
- Manage vendor communication, logistics, schedules, and support materials
- Monitor and support event-related budgets as needed
Facility & Security Coordination
- Manage front-door access, alarm systems, and safety protocols
- Coordinate safety drills and assist in compliance documentation
- Communicate with vendors regarding maintenance or building needs
- Support a secure, orderly campus environment in partnership with administration
Student Programs & Special Projects
- Support trip planning, extracurricular activities, and special events
- Oversee initiatives such as the yearbook, student showcases, and award ceremonies
- Coordinate schedules, permissions, and communication for student programming
Staff, Student & Family Support
- Serve as a trusted liaison to parents, staff, and students
- Handle concerns, documentation, and general administrative requests with discretion
- Provide backup for reception and communication as needed
- Participate in staff devotions, in-service days, and faculty gatherings
Schedule & Expectations
- School-year hours: 7:30 a.m. – 4:00 p.m., Monday–Friday
- Summer hours: 8:00 a.m. – 12:00 p.m., Tuesday and Thursday and as needed
- Attendance at all staff in-service days and administrative preparation times
- Support at special events such as the Fall Auction, Spring Banquet, Open House, and Graduation
Required Qualifications
- A growing, personal relationship with Jesus Christ
- Full alignment with Agape’s Statement of Faith
- Active participation in a Bible-believing local church
- Exceptional communication, organization, and multitasking skills
- Proficiency with systems such as Google Suite, Microsoft Office, and student information platforms (e.g., FACTS)
- Strong attention to detail, confidentiality, and professionalism
- Flexibility and a servant-hearted spirit in responding to dynamic school needs
Preferred Qualifications
- Prior office administration or school operations experience, ideally in Christian education
- Experience with student information systems, enrollment platforms, or records management
- Familiarity with event coordination and vendor management
